Booth selection order is based on a first-come, first-served basis. Within a couple day​s of
registr​ation, an email will be sent from eShow (via Carly Reid), with your date/time to select your booth (be sure to check your SPAM folder). There will be a link and password provided and you'll be able to view the floorplan, booth availability and select your booth.​

​Note: the Expo Hall floorplan is a LIVE document – CAI CANNOT guarantee the booths that are available today, will be available once it is your turn to select and CAI does NOT reserve booths.

  • Four booth staff are included per booth contracted (i.e. Single=4 staff; Double=8 staff; Triple=12 staff; and Quad=16 staff)
  • Please add all your booth staff to the ESC. If you need CAI to resend you the link to the ESC, please email Carly Reid at creid@caionline.org
  • If you plan on having more staff than what your booth is allotted, you must assign days to booth personnel
  • Booth personnel CANNOT be switched-out during the same day, but you can switch from  Thursday to Friday
  • Badges will only be given to those staff on th​eir assigned day (e.g. – Thursday badges must be returned in order for Friday staff to receive their badges)
  • Badges are required to enter the expo hall. Security will be provided​

Mystery Booth
​Participate a Mystery Booth Exhibitor and get attendees to your booth! Cost is $100. 

  • Pay $100 to participate as a Mystery Booth​ Exhibitor
  • Your company is in the mystery booth flyer and has a mystery booth table stand to display at your booth (CAI to provide the stand)
  • Attendees will stop by your booth and drop off their business cards (you provide bowl or vase)
  • Companies are drawn on Thursday and Friday as a Mystery Booth Exhibitor
  • The booth winners then pick a card from their bowl of attendee cards
  • Winning exhibitors will give away cash to the winning attendee​

CAI would like to warn exhibitors and delegates that CAI's Annual Conference exhibitors have been targeted by unknown companies offering services or lower sleeping room rates. Should you receive an email or phone call from an unfamiliar source, please note that these entities are in no way affiliated with CAI, nor our official conference hotel, The Diplomat. Anything offered should be considered inaccurate and fraudulent.

The use of our association name and show name by these companies has been made without CAI's consent. We encourage you to contact the CAI Events Team; Carly Reid, Sr. Meetings Manager, creid@caionline.org, Lauren Piontek, Director of Expo Sales and Strategic Partnerships, lpiontek@caionline.org and Holly Carson, Meetings Director,hcarson@caionline.org, when receiving these types of solicitations from unpleasant sources, so we can be made aware that you are being targeted. ​

CAI EXHIBITOR & SPONSOR POLICIES

What to Wear: 
CAI's Annual Conference and Exposition is a professional event, so business casual wear is strongly encouraged. 

Consent to Use of Photographic Images: 
Registration and attendance at, or participation in, CAIs Annual Conference & Exposition constitutes an agreement by the registrant to CAI's use and distribution (both now and in the future) of the registrant or attendee's image or voice in photographs, videotapes, electronic reproductions and audiotapes.

Exhibit Eligibility:
​Exhibiting companies will be limited to those providing services, products or publications that are directly applicable to managers of community associations, homeowner leaders in community associations and business partners that service community associations.

Terms and Policies:
Full payment must be received before CAI holds expo booth space. CAI reserves the right to refuse any exhibitor and/or sponsorship application or to cancel any prepaid exhibitor and/or sponsorship it deems appropriate to avoid conflicts of interest. CAI will refund payments for canceled sponsorships. Sponsorship refunds or cancellations cannot be made after any promotional materials have been created.

Cancellation
Updated April 7, 2020: Exhibitor Cancellation: CAI is currently still planning on holding the Annual Conference & Exposition June 10-13, 2020. Our cancellation policy was no refunds issued after November 22, 2019. However, as of April 7, 2020, CAI will review cancellations and refund requests on individual basis. Please send requests to creid@caionline.org. 

Staffing of Exhibits – Exhibits must be staffed at all times during exhibit hours. CAI requests strict adherence to the opening and closing hours. It is imperative that no exhibitor begins dismantling, packing or teardown of their space until Friday, June 12, 2020 at 3:15 p.m.

Failure to Occupy Space: Space not occupied by the close of the installation period will be forfeited, and space may be resold, reassigned or used by CAI. No refunds will be made for failure to occupy space.

Private Party Policy - All hospitality suites and hosted events must be approved by CAI. Hospitality suites/hosted events are not permitted during official conference activities. Non-exhibiting companies/groups/individuals are not permitted to host OR attend events at the official hotel during the conference. CAI Suitcasing Policy - CAI has a no-tolerance policy regarding “suitcasing," which describes the practice by nonexhibiting companies or individuals of soliciting sales or sales leads in conference hotel, on the tradeshow floor, in the aisles or lobbies and/or representing their services or soliciting conference participants for conflicting social activities (including Chapter Party) and wearing company logo wear.

​Nonexhibiting suppliers participating in the conference as attendees or speakers are prohibited from soliciting business on the tradeshow floor, in or after sessions, or in the con​ference hotel.

It i​s considered bad form to conduct business outside of your booth. Talking to clients or prospects in or in front of someone else's booth is also a violation of CAI policy and will not be tolerated. All parts of the exhibit must remain in exhibitor's assigned space. No exhibit will be allowed to infringe upon aisle space.

Violators of these policies will be ejected from the show and charged the single-booth rate ($2,100), which must be paid prior to registering as an attendee, exhibitor, or sponsor at any future CAI conference or other event. In addition, CAI will have the hotel cancel the illegal function at violator's expense.​


Anti-Harrassment Policy​

Objective
Community Associations Institute (“CAI”) is committed to providing a professional environment that is free from harassment and discrimination in which all individuals, including employees, members, and volunteers, are treated with respect and dignity. Each individual has the right to work in a professional atmosphere free from unlawful harassment, discrimination, and retaliation.
 
This policy applies to conduct by employees, members, and volunteers of CAI, including board, council, and committee members, and applies to complaints of harassment that involve employees, members, and volunteers of CAI at all CAI events including, without limitation, board, council, and committee meetings, conferences, and all other CAI programs and events.
 
In order to provide all participants at events, including members and other attendees, speakers, exhibitors, sponsors, employees, and volunteers, the opportunity to interact professionally and benefit from the event, CAI is committed to providing a safe and productive environment free of discrimination, hostility, harassment, and retaliation based on race, color, religion, sex, sexual orientation, gender identity or expression, age, disability, marital status, citizenship, or any other characteristic protected by law.
 
CAI has a zero-tolerance policy for discrimination, harassment, and retaliation and is committed to enforcing this policy at all CAI events.
 
Equal Opportunity
It is CAI’s policy to ensure equal opportunity without discrimination or harassment on the basis of race, color, religion, sex, sexual orientation, gender identity or expression, age, disability, marital status, citizenship, or any other characteristic protected by law. CAI prohibits all such discrimination and harassment.
 
Harassment Defined
Harassment on the basis of any protected characteristic is strictly prohibited. Harassment includes verbal, written, or physical conduct that denigrates or shows hostility toward an individual on the basis of any of the above listed protected factors and that: (1) has the purpose or effect of creating an intimidating, hostile, or offensive environment; (2) has the purpose or effect of interfering with an individual’s performance or ability to participate in CAI events; or (3) otherwise affects an individual’s ability to participate in CAI events and activities.
 
Harassing conduct includes epithets, slurs, or negative stereotyping; threatening, intimidating, or hostile acts; denigrating jokes, offensive texts, and emails.
 
Sexual harassment means any unwelcome conduct, comment, gesture, or contact of a sexual nature, whether on a one-time basis or in a continuous series of incidents that might reasonably be expected to offend, embarrass, or offend an individual. Sexual harassment also includes any unwelcome sexual advances, requests for sexual favors, and other verbal or physical unwelcome conduct.
 
Prohibited Conduct
As a professional organization, CAI is committed to diversity, equity, professional treatment of ideas, and respectful treatment of all members, volunteers, and employees at all CAI events. CAI seeks to provide a professional atmosphere in which diverse participants may learn, network, and participate in an environment of mutual respect. Conduct that is prohibited includes:
 
• Harassment or intimidation based on race, color, religion, sex, sexual orientation, gender identity or expression, age, disability, marital status, citizenship, or any other characteristic protected by law
• Sexual harassment or intimidation, including unwelcome sexual attention, stalking, or unsolicited physical contact
• Harassment, intimidation, or coercion based upon a position as a board member, committee member or any position of influence
• Abusive, lewd, or threatening conduct
• Bullying, harassment or unprofessional conduct toward employees, volunteers, members, or other participants at CAI events
• Physical violence or threats of violence
• Sexually charged communications or conduct
 
Reporting Acts of Discrimination, Harassment or Retaliation
CAI cannot take action to stop conduct if it does not know of the conduct. CAI encourages reporting of all perceived incidents of discrimination, harassment, or retaliation, regardless of the offender’s identity or position. Individuals who believe they have been the victim of such conduct should report their concerns to CAI’s Chief Executive Officer or President. In addition, CAI encourages individuals to advise the offender that his or her conduct is unwelcome and to request that it be discontinued, if they feel comfortable so doing.
 
CAI encourages the prompt reporting of complaints of concerns so that immediate action can be taken, if appropriate. An individual making a complaint may be asked to put the complaint in writing.
 
In the event that an individual feels that his or her physical safety is in jeopardy, CAI encourages the individual to contact the appropriate law enforcement agency to make a report.
 
Any reported allegations of harassment, discrimination, or retaliation will be investigated promptly. The investigation may include individual interviews with the parties involved as well as witnesses to the conduct.
 
CAI will maintain confidentiality to the extent consistent with appropriate investigation and corrective action.
 
If it is determined that an individual has engaged in prohibited conduct, CAI shall determine the appropriate action to be taken, which may include, but is not limited to:
• Private reprimand
• Expulsion from the CAI event without warning or refund
• Implementation of conditions upon attendance at future CAI events
• Removal of the individual as a board, council, or committee member
• Restriction from attendance at future CAI events
• Revocation of membership in CAI
 
Retaliation
Retaliation against an individual for reporting harassment or discrimination or for participating in an investigation of a claim of harassment or discrimination is a serious violation and is strictly prohibited. Acts of retaliation should be reported immediately and will be promptly addressed.​
